Answers to common problems
My PDF says "no readable text was found"
The PDF is probably a scan or a picture of a page. Appeal Builder reads typed text only. Open the original in your records system and export a text-based PDF or Word file, de-identify it, and upload that copy.
The screen flagged something that isn't an identifier
The identifier screen is cautious and sometimes flags harmless text such as a CPT code or a program name. Review each flag. If it is not identifying, mark it as reviewed and continue.
A quote shows "could not be matched"
Every quote the AI cites is checked against your documents. If it can't be matched word for word, it is labeled so you can check the source yourself before relying on it.
I closed the page and lost my letter
Appeal Builder doesn't store clinical content or letters, so work can't be recovered after the page is closed. Download your Word or PDF letter before leaving. The letter still counts toward your plan once it has been generated; contact support if a technical error caused the loss.
I think I uploaded identifying information
On the results or letter screen, choose "I may have sent identifying information." Your session is cleared and a minimal incident record is created without the content. Then follow your organization's privacy procedures and contact support.
Where do I fill in the patient's details?
On your own approved computer or clinical system, after downloading. Replace placeholders such as [PATIENT NAME] and [MEMBER ID] there. Never type them into Appeal Builder.
